Calendar
Different than a “Schedule”.
A “Calendar” subscription is purchased for each business physical location. For example: If a restaurant owns two locations, they will need to purchase a “Calendar” for each location. As they are purchased, they are named Calendar01, Calendar02, etc in your subscriptions list found in MyAccount.
Each Calendar subscription comes with ONE “schedule”. You can add schedules to a calendar, often done to control visibility and manage teams within that business physical location. Control visibility by worker type, event/project, department and/or skill level.

If your business sends workers out to different job sites, but you only have one physical business location, you only need ONE Calendar subscription.
Schedule
Different than a calendar.
Schedules are used to control visibility. You can have multiple schedules under one Calendar. Calendars are physical business locations. Each location has it’s own subscription called a Calendar. If you have more than one physical business location and purchase a Calendar for each, they will be names Calendar01, Calendar02, Calendar03, etc. Within each Calendar (aka physical business location), you can have multiple schedules. Open Shifts are posted in schedules. Schedules are how you control which SubWorkers see which open shifts.
The only subworkers that see your schedules are those you have approved and have sent a request to us to add them to a specific calendar/schedule.

Your schedules will come with a standard set of fields to be completed to post an open shifts. You are able to add custom fields to your open shifts that communicate your expectations better to subworkers. Learn more under the “Open Shifts” definition.
Team Calendar
This calendar will show all of your locations and all of your schedules. You will see both open shifts and shifts that have been picked up in each schedule.
InProgress (Calendar)
This will show all shifts that are currently in-progress at the time the user is looking at it.
SubRoster
This will show all SubWorkers that have worked for the Employer. Based on the dates chosen and the calendar/schedule chosen, it will show what SubWorkers can see the open shifts on that calendar/schedule.
ShiftGroups
ShiftGroups are a series of shifts grouped together. If a SubWorker picks up one, it assigns them to all shifts in that ShiftGroup. Some examples of businesses that may use ShiftGroups:
- construction or contracting companies that build decks or install fences
- hotels, restaurants, and event centers for events that last more than one day
- cruise ships that are on 3, 4, 5 and 7 day trips
- trucking companies that use drivers to drive across country taking more than one day
Single Shifts
SingleShifts are open shifts that are posted that last anywhere from 4 to 12 hours consecutively.
Custom Fields
If you would like to customize the fields that you include in your open shifts posts, you can send us a request through the support system. Requests may or may not be approved by ShiftSub. Responses will be emailed to the email included in the support ticket. If approved, the change will be made only for the schedule noted in the support ticket.
Custom fields can include drop downs, text boxes, checkboxes, etc.
RepeatShifts aka Open Shift Templates
If an employer plans to post the same open shifts over and over, a RepeatShift can be created for quick selection when posting an open shift. In the example below, a manufacturing company has a RepeatShfit for a PickerPacker and is posting an OpenShift. They can select the RepeatShift “Picker/Packer” or they can select Custom Time to continue without that RepeatShift.

ShiftSub Memberships
All users have a personal account which is private to them. A user can set up their original account as any of the following three and add other memberships at any time as life changes for them. These are free, lifetime accounts.
- Employer
- SubWorker
- Employee
Employee
When someone creates an account on ShiftSub as an “Employee”, they are doing so to get access to the employer they currently work for and need to access a calendar and/or schedule of that employer.
This person does not have SubWorker permissions upon registration as an Employee. They have a “worker” designation/permission level. This means they can see open shifts and pick them up as subworkers do, but can’t post open shifts.
Employers may add additional designations (permissions) to this employee by submitting a request to add the designation of their choosing. Do this through the Contact Form.
ShiftSub Designations
Employer-Account Owner. Once an Employer purchases a Calendar subscription, they become an Employer-Account Owner which gives them specific permissions.
EmployeeWorker. Employer-Account Owners can add their own employees to any of their ShiftSub calendars and/or schedules. If their employee does not have an account on ShiftSub, the Employer-Account Owner can send them the “Employee” registration link from their Calendar Manager page. This gives them limited permissions.

- TeamCalendar. Managers can post open shifts, do attendance by shift and make shift notes.
- InProgress. This simply shows a schedule of who should currently be clocked in and working.
- TeamRoster. A list of all workers by schedule during a specific time frame.
